POSITION DESCRIPTION
JOB TITLE: FINANCE/OFFICE ADMINISTRATOR
STATUS: EXEMPT
The Administrator is a staff level position at TransAfrica Forum. The execution of this position must reflect dedication to the mission and goals of TransAfrica Forum. TransAfrica Forum serves as a policy, educational and organizing center that influences US foreign policy concerning Africa and the Diaspora and promotes African American solidarity with civil society. The FINANCE/OFFICE ADMINISTRATOR position supports this work.
The FINANCE/OFFICE ADMINISTRATOR oversees all finance functions-- including the creation of an above average financial system-- provide for organizational administrative needs, and execution of organizations’ projects. S/he assists with fund development and ensures cohesion between the finance, program and fund development departments. S/he must be willing to work extra hours as needed to complete priority tasks. Familiarity with office protocol and experience in high pressure and/or busy office environment is required. S/he is directly supervised by the Executive Director.
Responsibilities include:
Financial/ Accounting Management
- Manage day-to-day operations of finance department as well as execute Budget Management for long term strategic planning
- Board Liaison to the Finance/Personnel and Audit Committees
- Prepares necessary financial reports, which includes, but is not necessarily limited to, monthly financial reports to the Executive Director on the state of the organization, state charitable registrations and reports to the Board of Directors. S/he would also work very closely with auditors to prepare audits and 990s.
- Responsible for quality control for information reported to/ from accounts, including financial statement reporting, cash flow, etc.
- Maintain all contractual files, i.e., vendors, insurance and contract employees
- Oversee the financial state of the organization, ensuring that the organization stays within its budgetary parameters.
- Work closely with accountant on annual audit
- Manage cash flow
- Primary contact in the creation of short and long term budget(s); Provide budget oversight; integrate organizational plans and budget
- Grants Management and Supervision
- Maintain good relationships with constituents including banks and auditors
Administration/Human Resources
- Oversee all HR aspects
- Administer 403(b) Plan and health benefits
- Process payroll through ADP
- Maintain/update personnel policies and procedures Manual
- Supervise administrative staff
- Oversee facility operations (maintenance, machines and renovations)
- Supervise all contracted service providers, including but not limited to, counsel, public relations, accountant, computer technicians, auditor, website designer, investment planners.
Additional Duties
- Staffs the Board of Directors’ Audit Committee and the Finance/Personnel Committee.
- Work with legal counsel to ensure TAF’s interests are served in all legal matters, including but not limited to: vendor contracts, consultant agreements, copyright, and insurance. Preview legal contracts prior to submission to legal counsel.
- Ensure compliance with organizational policies and procedures, and applicable local, state and federal regulations. Ensure completion of all necessary nonprofit compliance forms to state and federal government.
- Maintains membership and donor data bases
Qualifications include:
- Commitment to the mission of TransAfrica Forum
- Bachelor’s Degree required; Accounting degree and/or experience strongly preferred
- Expertise in auditing and accounting software systems
- Knowledge of and at least three years’ experience with financial management
- Knowledge and experience of non-profit management
- Excellent verbal, written and interpersonal communications skills
- Excellent human relations skills
- Ability to communicate with diverse persons and groups
- Ability to exert effective leadership and to work independently
